EBC Staff Standards and Policies 

1. Chain of Command 

It is critical that all staff and volunteers understand the extent and limits of their role. The Chain of Command indicates the direction of our communication when operating as a camp or resolving conflicts. This communication is important both for support and conflict resolution. Regarding support, please bring questions or concerns to the supervisor directly above you in the Chain of Command. Regarding conflict resolution it is our goal is to resolve issueswith respect and timeliness, directly with the other involved part(ies). If an issue cannot be resolved directly, the Chain of Command tells us which supervisor should be involved (who should know and can know).  

In addition to the Chain of Command, all staff and volunteers are required to review their job description.  

Camp Director 

  • Camp Director: Full authority and under the direction of the Board of Directors.
  • Assistant Director: Authority over all aspects of camp programming/events and all staff related issues and campers.  

Year-Round Staff Team 

  • Head Cook: Authority over the kitchen and kitchen staff/volunteers. As well as, any teams in the kitchen or dish pit.
    • Assistant Cook
  • Facility Manager: Authority over the maintenance of the camp, and all tools, equipment, and vehicles belonging to the camp. 

Summer Lead Team 

  • Program Director: Provides oversight to the program team, skill leaders and all aspects of the camp related to programming and skills.  
  • Assistant Program Director
  • Head Cabin Leaders: Provides oversight to summer staff/volunteer cabin leaders
  • LIT/SLP Coordinators: Provides oversight to the LIT/SLP program and all participants in those programs.  
  • Office/Admin: Coordinates the office, camp visitors, and events related to registration and pickup.  

Summer Staff 

  • Cabin Leaders: Leadership over their assigned cabin of campers, and secondarily, all campers on site.
  • Skill Leaders: Leadership over their assigned area of responsibility and all persons involved in leading the skill and all participants.  

Summer Volunteers 

  • Volunteers/Guests: Supports only the task for which has been delegated to them, and are under the direct supervision of their area leader.  

 

*Harassment, Bullying and Sexual Misconduct Policy 

As a workplace, we have a policy statement that workplace bullying is unacceptable and not tolerated. If you witness or experience bullying and harassment in the workplace, you must report it. Report first to Malcolm, Assistant Director. If Malcolm, is the alleged bully, please report to Lane Hardy, EBC Board Chair. Lane.hardy@gmail.com   

All bullying and harassment will be investigated, so that we maintain a safe working environment for everyone.

2. Involvement and Participation

  • Attend all activities and meals, unless prior arrangements have been made with your supervisor.  
  • Be on time for all events, 5-10 minutes early is what we consider to be on time.  
  • Be an aware leader and active participant in all events, we are collectively responsible for the supervision and safety of campers at all times.  
  • Keep a clear understanding of your responsibilities, your role, and our schedule at all times.  
  • When assigned time off, rest with intentionality and away from camp life.  

3. Relationships and Staff Interaction

  • Intentionally branch out socially to all members of the team.  
  • Respect for everyone on our property is a priority.
  • With love and respect, conflicts and complaints will be directed towards the specific parties involved and according to our Chain of Command. When necessary, staff conflict will involve Director/Assistant Director supervision.
  • Our words and actions towards one another are accountable to perception rather than intention. Be above board in all your language, attitudes, and affection (even when joking).  
  • Public displays of affection are not permitted. 

Dating Relationships 

We ask that you reserve beginning a dating relationship with another staff member or volunteer until after camp has completed.  

For those in a prior relationship, at no time should a dating relationship interfere with the quality of your work or the overall focus of the Eagle Bay Camp community.  

4. Dress Code 

  • Professional: As employees and representatives of the camp our dress will reflect a professionalism that builds trust with campers, parents, and guests.
  • Readiness: Our dress should at all times have a readiness and functionality suitable for any camp activity (ex. skills/sports) or camper related interactions (ex. emergency)
  • High Consideration: Foremost, our dress should take into consideration our work with children. In some cases, this will involve setting aside personal preference (ex. style, fit, icons/language).
  • There are no string bikinis or speedos on the waterfront. And swim attire is only to be worn while participating on the waterfront.  

5.  General Conduct 

  • You are employees and representatives of Eagle Bay Camp. What you do and say onsite, offsite, and online reflects directly on us as a staff team and a camp as a whole. 
  • Cell phones are to be left in your rooms, except during skill blocks and in cabins for the night. This includes meals for all staff.  
  • You are responsible for being a leader, spiritually, emotionally and physically. this includes:
  • Being consistent in spiritual disciplines throughout the summer (ex. Bible reading, prayer, forgiveness)
  • Taking time to be alone to process experiences and your own personal life
  • Determining your boundaries personally (ex. touch, social limits, roommate agreements) and informing others of those boundaries.  
  • Utilizing and making the most of times of rest.  
  • Maintaining appropriate personal hygiene.  
  • Guests (At all times, including off days and staff breaks) 
    • Visitors must ask before arriving and report to the camp office. Prior permission must be granted by the Camp Director for all visitors.  
    • Only in very rare circumstances will overnight guests be permitted.
    • On Saturdays (our typical day off) guests will be asked to visit between 2:00  - 8:00pm. Guests are to remain out of the lodge and lodge rooms.  

Leaving the Property

  • All staff must inform one of the Directors if they are leaving the property for any reason during the week.  If you are going somewhere (other than the Okanagan Valley or your home) for the weekend please make sure that either the office secretary or one of the Directors has a way of contacting you in case of an emergency. There is a whiteboard in the office to record absence and cell numbers
  • No camp equipment is to be taken or driven off the property without the approval of the Camp Director.
  • There is a staff sign out sheet in the office. Days off will be for a duration of 24 hours maximum, unless there is previous approval by the Camp Director.  To clarify, this means that if your day off starts at 12:00pm, you have to return by 12:00pm the following day, no matter what time you left the camp.  

Cars/Maintenance Vehicles 

  • Only those who are authorized are allowed to drive any of the camp vehicles, including the trucks, Kubota and ATV.  
  • When you are driving a camp vehicle you need to be aware that you are representing the camp.  
  • Please slow down when you are driving around camp, you need to drive less than 10kms/hour to keep dust down and avoid campers, this starts when you enter the property.
  • Park vehicles in either upper or lower parking lot. Please leave room for garbage and recycling vehicles.  

6. Facilities/Dorm Life

  • Eagle Bay Camp property, buildings, and facilities need to be respected and protected. We expect that initiative will be taken by everyone to keep the camp clean, operating well, and safe (ex. replacing paper towel, returning kitchen items, or picking up garbage).  
  • Speak quietly and walk softly in the evenings, so as to not wake up those already asleep, such as the kitchen team.  
  • At no time should there be opposite genders in a room.  This in non negotiable.  
  • For the sake of inclusion and accountability, if anyone other than the assigned roommates are in the room the door must be left open.  
  • Your room is your primary place of rest and restoration, as such, a roommate reserves the right at any time to say, “I need to close the door.” This is a que for any guests to leave and find another location for conversation or hanging out.  
  • At no time are lodge beds, mattresses or furniture to be moved. The beds can be fragile and moving them causes excessive wear on the joints.  
  • The cleanliness of your room and belongings are your responsibility.  
  • Hang all wet clothes and towels outside or in a place where it can adequately dry.  
  • You will be held responsible for damages that result for goofing around or decorating your room (ex. do not use nails or tacks). Report all damages as they occur. 

* We recommend discussing as a room both personal expectations and preferences (Ex. sleep habits, privacy), and a plan for a cleaning regime.   

Media/Music 

  • Video/computer games, are not permitted during the six weeks of camp (including weekends)
  • Movies/shows are not to be viewed during camp time or after campfire/before bed. Weekends and time off are the only appropriate times for viewing.  
  • Internet and wi-fi are a privilege. No inappropriate use of the internet. Our internet is monitored and will flag of inappropriate use.  
  • Do not overuse or download during camp hours, this reduces our office/admin staff’s ability to use the internet.  
  • Music played in your room should only be loud enough to entertain the people in your room.  Because music preferences vary, we ask that you are respectful of other people who may be listening, especially in places like the staff lounge and the dining hall.
  • The weeks of camp provide an opportunity to create some digital distance. We encourage all staff to consider what apps or phone habits they would like to create distance from during these weeks. This consideration is for your personal benefit and our collective focus as a team.  

 

Curfew 

  • All staff must be in their rooms at the designated curfew time on each weekly schedule.  
  • A “reduced noise” standard for all staff rooms will take place for 30 minutes after curfew.  This means that you can talk quietly in your rooms with the people in your room.   

7. Dining Room

  • Out of cabin staff are to be mindful of our dish crew and clear their tables promptly.
  • Cabin leaders are responsible to ensure that their tables are clean and wiped.  
  • The dining hall and deck are not a storage place for personal items.  
  • No kitchen or dining hall utensils are to leave the dining room at any time

8. Kitchen (rules apply to weekends as well)

  • Only kitchen staff are allowed in the kitchen at any time, with the exception to the dishwashers, LIT leaders and the Camp Directors.  
  • Staff are not allowed in the walk-in cooler or freezer without the permission of the head Cook or Camp Directors.  
  • Nothing is too be borrowed from the kitchen without the approval of one of the kitchen staff.  If for some reason you need a special order you need to inform the cook well in advance.  

9. Staff Lounge

  • The staff lounge is designed to be a quiet sanctuary for staff.  We ask that all noisy activity is taken elsewhere, as others may want to use this space.
  • If you are socializing in the lounge after the camper’s curfew, please keep the noise level down.  Sound travels extremely well and others may be trying to sleep.
  • There will be leftovers in the staff fridge, these are for you to eat for a snack or on the weekends.  
  • The lounge must be kept clean in all aspects (ex. kitchen, couches, tables) 

10. Laundry Room

  • Laundry should only be done on the day that you are scheduled, no other day.  Should you need to trade with someone else, you can do so.
  • Do not overload the washer and dryer.  
  • Use the provided laundry soap and only use the provided measuring cup for amount of soap
  • Do not put muddy/grassy clothes in the dryer.  Make sure that they are rinsed first.  
  • Do not put shoes in the washer or dryer.  
  • Clean out the lint trap every time you use the dryer. 

11. Office

  • The office area is not a place to congregate and hang out. Our administrative staff needs to have a quiet work area.
  • The computer in that main office area is completely off bounds, at no time should you have a need to use this computer unless given permission by office administrator
  • Do not borrow items out of the office without permission.  
  • When borrowing items, please return them to the place that they were found promptly.

12. Waterfront/Lifeguards

  • The lifeguards have full authority on the waterfront.  All staff must obey their rules and help campers obey all waterfront rules.
  • Lifejackets must be worn at all times when using the Blob, canoes, kayaks, push-off dock, tubing and riding in the boats.  There are no exceptions to this rule and this includes the weekend.
  • All waterfront equipment that you use must be returned to where it is stored, even if you didn’t take it out.   

13. Climbing Tower/Paintball/Zipline

  • These program areas are only to be run by the designated leaders and trained staff. All safety rules must be followed whether there are campers present or not.  
  • Staff are not to participate in these elements without permission, and only in tandem with certified staff. This includes weekend or staff break usage.    

14. Drugs, Alcohol, Gambling

  • During your time at Eagle Bay Camp at no time should you be taking illegal drugs.  If you are on prescription drugs for any reason you need to inform the nurse.  
  • Under no circumstances should any EBC staff member, under 19, be drinking.  
  • Drugs or alcohol are not permitted on the EBC premises.  
  • We require that you refrain from alcohol/drug abuse during your time at Eagle Bay Camp. This includes using discretion when out on weekends.  
  • We require that you refrain from any type of gambling, online, in-person, or any other type.  
  • There are other substances, habits, activities outside of drugs and alcohol that would constitute unhealthy and unwise behavior. We ask that you be sober minded, discerning, and diligent in all aspects of your lifestyle and conduct.
